Licences and vendors

You make one call. We deal with your internet provider, phone system, printer supplier and software vendors, and we buy and manage your Microsoft licences, sized to the people you actually have.

Five vendors, each pointing at the next. Or one call.

Behind a firm’s IT sit a dozen contracts: the internet line, the phone system, the printer supplier, the CAD vendor, Microsoft. When something fails, each vendor’s hotline is sure it’s another vendor’s fault, and the person at your firm who has to sort it out is doing it between client work. We take that over. Your vendors deal with our engineers, who speak their language and know your setup. Licences are the other half: Microsoft licences bought and managed through us are matched to the people you have, released when someone leaves, and shown in the monthly report, so you pay for the people you employ, not the ones you used to.

What we take over

One contact for your vendors. Licences sized to reality.

You keep your contracts and your choice of vendor. We handle the dealing, the renewals and the day something stops.

  • The vendor call is ours

A line down, a phone system fault, a plotter that needs a technician: your request goes to our service desk, and we deal with the vendor, with your authorisation to act on your behalf, until it’s resolved.

  • Licences through us

Microsoft licences bought and managed for you, assigned when someone joins and released when someone leaves. Which plan each role needs is decided with you, so nobody carries a licence they never use.

  • Renewals before they bite

Contract ends, licence renewals and support expiries go into your documentation with their dates, and the monthly report names what’s coming before it arrives.

  • Software vendors, in their language

For the software your work runs on, Revit, AutoCAD, iTWO, Bluebeam, your practice or case software, our engineers open the vendor ticket, supply what the vendor asks for and stay on it until it’s answered.

  • The line and the phones

Internet provider and phone system are documented like every other system: who the contract is with, what it covers, where the fault number is. On the day the line drops, nobody has to look for it.

  • A second opinion before you sign

Before a contract renews or a new one is signed, your TechPilot reads it with you: what it covers, what it costs, whether it fits how you work. The decision stays yours.

On record

In your documentation and the monthly report.

  • Every vendor and contract: what it covers, when it ends, the fault line
  • Licences held against people, reviewed every month
  • Each vendor case we handled, from request to resolution
  • Renewals and expiries coming up, before they’re due

What usually goes wrong with vendors and licences.

  • The round of blame

The line provider blames the firewall, the firewall vendor blames the line. Nobody at the firm can judge who’s right, and the fault stays open for days.

  • Licences for people who left

Nobody releases a licence when someone leaves, so the invoice grows with every year of staff turnover. Many firms pay for more people than they employ.

  • The renewal nobody saw coming

A contract renews itself for three years because the notice date was in nobody’s calendar. The first anyone hears of it is the invoice.

Questions we get

Do we have to move our contracts to you?

No. The contracts stay yours, with the vendors you chose. You give us the authority to deal with them on your behalf, and from then on their hotline talks to our engineers.

Why buy Microsoft licences through you?

Because then the licences follow your people. We assign them when someone joins, release them when someone leaves, size the plan to each role, and show you in the monthly report what you pay for. If you buy them elsewhere, we administer them just the same.

Will you recommend new software or vendors?

When you ask, and only what fits how you work. Your TechPilot reads a contract with you before you sign, names what it covers and what it costs, and says no to the shiny tool you don’t need. The decision is yours.

What if a vendor fails badly, like an internet line down for days?

We escalate with the vendor and keep you informed in plain words. Where it makes sense, we set up a way around in the meantime: a mobile line, say, so your people keep working while the vendor fixes its fault.

How many vendors does your firm chase today?

In a first call we go through which vendors and licences your IT depends on, what each contract covers and costs, and what one contact for all of them would change.
